Tanda: Settings β Staff β Export. Wageloch: Reports β Staff List β CSV. Other tools work too if the CSV has columns for name, email, mobile (any order).
QSPP-related fields will pre-fill the upcoming Annual Attestation Helper. AHPRA registration is required for QSPP scope-of-practice records. The AIR Provider Number is your pharmacy's Medicare AIR site ID, find it in your Provider Digital Access (PRODA) account.
Registration status + assigned caps per Pharmacy Programs Administrator program. Caps vary per pharmacy, find yours on the PPA Portal. Claim builders refuse to run until you've marked the program as registered.
Ticking Registered fills in the standard cap from the program rules (DAA 90/week, MedsCheck 20/month) so it saves with the form. Check your assigned cap on the PPA Portal and change it here if yours differs. IDAA, NIPVIP and CVCP have no cap under the program rules, so there is nothing to set.
Your pharmacy's PPA connection, used by every program that claims through PPA (MedsCheck, NIP-VIP, CVCP). Programs and caps live in the PPA Programs card above.
- The User ID + PPA API Key for the user profile associated with your pharmacy in the PPA Portal.
- Immunising pharmacists don't need their own PPA Portal account if they're not responsible for submitting claims.
- Generating a new API key in the PPA Portal disables the old key.
- Any team member can re-enter these when a key lapses. Click Edit credentials, tick the acknowledgement, then save. Every change is recorded with who made it.
Claims must be submitted under a registered PPA Service Provider. Click Load my providers to fetch the list linked to your PPA account, then pick which one this pharmacy maps to. PHQ saves the selection so every claim submitted from here is unambiguously tied to that provider.
When an order has been in Received or Ready to Collect for longer than these thresholds, it surfaces in the daily worklist's Re-notify patients section.
Default: 2 days for Received, 3 days for Ready-to-Collect. Lower values = patients are chased sooner.
Default: 30 days. Older completed orders are hidden from every view but remain in the database for audit. Min 7, max 365.
The parts of your pharmacy that work gets tagged to, Dispensary, Front shop, Webster, and anything else you run (compounding, AusPost, NDSS, dosing, deliveries, aged care). Each person's Tasks view shows their areas first; everything else stays one tap away.
What each job title sees first, before anyone is set individually. A person's own staff card overrides this, and today's roster overrides both, for today only.
Dates listed here trigger the 2.5Γ public-holiday multiplier on the Workforce timesheet calculator. Seeded with AU national + QLD state holidays. Edit for your state, and append the next year before 1 January.
When a public holiday is coming up, Pharmacy HQ can notify you to confirm your trading hours, then auto-generate the window poster + create a "print & display" task + optionally SMS your regular-engagement patients. Skips noisy generic patients (random OTC); targets only patients who depend on regular pickups.
When a staff member's DOB or work-anniversary milestone matches today, the team sees a π (or π) next to their name in presence + lists, and the staff member sees a quiet "happy birthday" toast on sign-in. Optionally, you can also auto-post a sage notice to the Bulletin Board on the morning of, staff members can opt out per-person on their profile.
A lightweight phone app for your patients, branded as your pharmacy, not Pharmacy HQ. Shows what's ready to collect, Webster pack reminders, MedsCheck Action Plans. Owner-only setting; staff don't need to touch this.
COMING SOON hides the patient-app surfaces from staff. ALPHA opens patient-onboarding flows to test users only (existing functionality). LIVE rolls out to all patients with a phone number on file. Default: COMING SOON.
Optional. When enabled, clock-in attempts capture the device's location and flag any punch beyond the radius from the pharmacy. Doesn't block, just flags the record so the manager can spot it on the timesheet. Set the lat/lng from a phone standing inside the pharmacy.
Used by the Clinical Services β MedsChecks queue to surface eligible patients. Defaults match PPA's published rules. Tighten (e.g. 6+ meds) if your queue gets too noisy.
Clever Logger's scheduled report emails can be read into Fridge Temps automatically. Email is the live path today. The direct Clever Logger cloud read further down this section is wired but not switched on yet, so until it is, email is the only automation. Setting this up is five steps, and two of them are outside your hands:
- Generate your ingest address below (owner only). Copy it.
- Add that address to your Clever Logger account as a recipient for the fridge site. Some accounts only offer recipients who exist as a user on the site first; a read-only role such as Viewer is enough for reports. If the address is not offered as a recipient, confirm with Clever Logger how to add one.
- Wait for the invitation to be accepted. Clever Logger emails an invitation to the new address before it will send reports there. That email reaches Pharmacy HQ, not you, and is accepted on our side. Reports will not flow until it has been. If nothing arrives within a business day, email hello@pharmacyhq.com.au.
- Attach the address to the scheduled Daily Min-max with Extremes report for each fridge site. That is the report Pharmacy HQ reads; other Clever Logger report types are ignored. Whether the recipient is set on the report or on the site depends on your account, confirm with Clever Logger if unsure.
- Check the status line below. It names the last report received. A report that found an alarm writes readings into Fridge Temps with a β‘ Auto badge. A report that found no alarms is recorded here as received and writes no reading rows, so an empty Fridge Temps log is not an all-clear; this status line is.
If your own inbox already receives the reports, a forwarding rule there (from cleverlogger.com, forward to this address) is an alternative to steps 2 to 4. It still needs step 3 the first time Clever Logger sees the address.
No ingest address generated yet
Pharmacy HQ can read your fridge temperatures straight from the Clever Logger cloud as a Viewer and write the daily high and low into Fridge Temps, with no email forwarding in the loop. Map each Clever Logger location to the fridge it logs. Reading happens on Pharmacy HQ's servers and only once it is switched on for your pharmacy; until then the map is saved and nothing is read.
Three things have to be true before a single reading is fetched, and mapping a location here is none of them:
- Pharmacy HQ is a Viewer on your Clever Logger organisation and that invitation has been accepted on our side. Viewer is read-only; nothing is ever written back to Clever Logger.
- Pharmacy HQ's own servers hold that Viewer access for this environment, in Google Secret Manager, set up by Pharmacy HQ. It is never entered, stored or shown on this page.
- The cloud read has been switched on deliberately by Pharmacy HQ. It is off today, everywhere, and stays off until the two steps above are done.
A mapped location is a map, not a poll. Until all three are true the map is saved and nothing is read, and email stays the only automation. This is separate from the five email steps above: none of them switch the cloud read on, and mapping a location here changes nothing about email. Once the read is on, its rows carry the β‘ Auto badge and a CL initial, same as email, so you can tell which source wrote a row.
- In Clever Logger, open your organisation, then the site, then the specific fridge location (the page with that fridge's temperature chart).
- Look at the browser URL at the top of the window. Copy the short code that sits right after
/locations/(example shapeβ¦/locations/VX6M). That code is the Location ID. - Do not use the site code. Site codes sit earlier in the path (example
/sites/NX57) and look different. - Clever Logger does not show this ID as a labelled field on the page. The URL is the source of truth.
Legacy: shared address with site-name mapping
For pharmacies on the original setup, forwarding to the shared fridge@phq-ingest.pharmacyhq.com.au address with site-name disambiguation. New pharmacies should use the per-pharmacy address above. If you're already on the legacy path and the status line above shows reports arriving, no need to change. A mapped site name is routing only, it is not proof that reports are being received.
When dead-stock items are auto-ingested, PHQ suggests a sell price based on the cost from your report. You review + override in the approval queue before anything publishes. These defaults are the starting point.

No ingest address generated yet
Clause 17.1(a) of the Pharmacy Industry Award lets you set your pay period as weekly or fortnightly. This tells the award engine where to cut the week when it counts the 38 ordinary hours before overtime starts (clause 21.2(a)), so getting it wrong changes people's pay. Fortnightly also needs a cycle start date, because "76 ordinary hours over 2 consecutive weeks" only means something once the engine knows which two weeks pair up. Whether an individual is actually averaged across the fortnight is set per person on their staff card, not here, most pharmacies have some staff averaging and some on the strict weekly rule.

Stops your part-time / permanent staff from accepting outside locum shifts that clash with the days you've rostered them at this pharmacy. Affects only staff who are also on Pharmacy HQ's Locum Hub. On by default, untick if you're happy for your team to pick up outside shifts on rostered days.

Control when patients can be booked in. Everything here is subtractive, start from your base hours, then carve out lunch, weekends, "no jabs Tuesday", or a one-off short-staffed afternoon. The week grid greys out what's blocked, and the public booking form won't offer it. Leave it all blank to book freely (no restriction).
Connect your Google Business Profile so Pharmacy HQ can push trading-hour updates straight to Google Maps + Search when you confirm holiday hours. Owner-only. Disconnect anytime, your Google profile stays untouched.

Some features send text to Anthropic, an AI provider in the United States, to do their work: the AI assistant, AI chat, invoice reading, incident tagging, and the QSPP writing tools. Turning this off stops every AI feature for this pharmacy, each one refuses instead, and no request leaves. Any AI feature added later is covered from the day it appears. Nothing else in Pharmacy HQ changes.
Turn QSPP readiness tools on or off for this pharmacy. Every toggle is reversible. None of these features block attestation submission, pharmacies can always complete attestation manually for the clauses that sit outside Pharmacy HQ.

Falls back to the free optimiser automatically if you hit the monthly cap or turn it off.
SMS auto-reply rules
Patients texting back trigger your auto-reply rules in order. First match wins. STOP / UNSUBSCRIBE / START are always handled automatically (regulatory), no rule needed for those.
Monthly SMS hard cap
A safety brake against runaway SMS spend. When the cap is reached, outgoing SMS for the rest of the calendar month are blocked until the next month rolls over. Replies/auto-replies and STOP/START handling are unaffected.
